1. RESERVATION DETAILS
To secure a booking Bay Motorhomes require a deposit
of £250. Balance of the hire cost is due 6 weeks prior to departure
date. In addition to this we take a bond of £500 14 days before
departure date which is refundable to you 14 days after returning
the vehicle, following inspection for any small damage or loss of
equipment. In all cases a confirmation of booking will be sent out
to the hirer.
2. DRIVERS
(a) Drivers must be over 21 and under 70 years of age and have held
a UK driving licence for at least one year. Proof of identity must
be produced by all drivers/ hirers at the time of pick up, the following
will be required -
2 current utility bills at present address
A valid driving licence and a passport if you intend on driving outside
the UK
Occupation of all drivers
Driver’s licences must be free of endorsements except for minor speeding
or parking offences (more than 3 points or younger drivers may be
subject to an insurance surcharge). Drivers who passed their test
after 1996 may be restricted on the weight of motorhome they are permitted
to drive.
Licences must be produced at the time of vehicle collection. In the
case of UK photo card licences both the card and the counterpart paper
licence must be produced. Visitors from abroad must produce a valid
unendorsed domestic driving licence or international driving permit.
The price covers one named driver. Additional drivers may be added
at an additional charge (maximum of 2 additional drivers).
3. INSURANCE
The agreement is subject to and is deemed to include the terms, conditions,
and limitations of the Bay Motorhome insurance policy, given along
with the insurance documents on the day of hire. Any vehicle hired
under this agreement may only be driven by the hirer who has been
accepted by the Company and our insurance company.

Even though it may be covered by the Company’s insurance the hirer
shall be liable to pay the cost of repair of any damage which the
vehicle may suffer as the result of the wilful action of the hirer.
It is important that you are aware that there is a £1000 EXCESS
payable for any damages or loss for any one incident or accident whilst
the vehicle is on hire to you or in your care. The hirer will compensate
the Company for any loss which it may suffer as a result of any act
or omission on the part of the Hirer or his servant or agent.
(a) As per Rental agreement and breakdown sheet.
Excluded from insurance cover is:-
1) Windscreen, all other glass and tyres.
2) Loss/damage/theft to the radio, stereo equipment, and Aerial's
3) Interior damage including burns to seats, carpets, and other damage.
4) Vandalism damage of any kind to the vehicle.
5) Personal effects within or from the vehicle 6) Negligence of any
kind.
3A. THEFT OF/FROM VEHICLE
It is extremely important that you are aware the hirer is totally
responsible for the security of the vehicle. You must ensure if the
vehicle is left unattended at any time that it is securely locked,
immobilised, and parked in a safe, well lit location. Theft from rental
vehicles and theft of rental vehicles is a very high risk therefore
you must take every precaution to protect yourself from possible loss
or theft of the rental vehicle.
Do not leave the vehicle in a vulnerable location or unlocked at any
time, always remember total liability is with the hirer if you do
not adhere to the above.
4. EUROPEAN TRAVEL
There is an additional charge of £90 for the first week and
£60 thereafter per week for European travel. This covers European
breakdown cover, travel pack (warning triangle etc) and insurance
outside of the UK.
5. BREAKDOWN
(a) In the event of a breakdown Bay Motorhomes should be notified
immediately by the hirer, and a breakdown service is at the disposal
of the hirer.
(b) The hirer is authorised to spend up to £50 on repairs which
will be repaid to them on the presentation of valid receipts. Bay
Motorhomes approval must be obtained in respect of repairs or replacement
in excess of £50.
(c) Bay Motorhomes are not responsible for any consequential loss
or expense subsequent to a breakdown.
(d) We will try to provide a replacement vehicle if available, however
if this is not possible and the hire of the vehicle is terminated
early due to a breakdown we will only be responsible for the period
of time lost and a pro-rata refund made.
(e) Every effort is made to ensure that all the motorhomes are in
a safe and road worthy condition before they leave our premises, but
Bay Motorhomes shall be under no liability for third party claims
or damages in connection with any breakdown (or accident).
(f) Any breakdown or fault caused by negligence of the hirer or driver
shall be made good at their own expense.
6. ACCIDENTS
In the event of an accident Bay Motorhomes should be notified immediately
by the hirer. A complete accident report must be made out and handed
to us at the end of your hire period.
In the event of an accident please make sure you obtain all names/addresses/vehicle
information of all third parties and their insurance details. Also
any witness details if applicable. Do not admit liability.
In the event of the vehicle being unsafe to use after an accident,
whether it the hirer’s or a third party fault, under any circumstances,
there will be no replacement vehicle provided and no refund will be
given on your hire monies.
We accept no liabilities for any other consequential loss claims arising
from the accident.
7. COLLECTION AND RETURN
(a) Vehicle hire is from Friday to Friday (unless otherwise agreed)
and vehicles are available for collection between 3.00 and 5.00p.m
and must be returned between 9.00 and 10.00a.m. unless otherwise arranged
in writing. Failing to comply with these times will result in the
Hirer being surcharged at the rate of £50 per hour or any part
thereof. (First 3 hours) and balance of deposit thereafter together
with any additional costs incurred by the Company.
(b) No refund is given for an early return of the vehicle.
(c) The Hirer acknowledges delivery of the vehicle and the contents
free from any defect or damage and complete other than as specified
by the Company at the date of commencement of hire and is therefore
advised to check the vehicle thoroughly before leaving the Company's
premises.
(d) Upon return the Company's representative will check the vehicle
for damage, cleanliness, etc., including the condition of the tyres
and windscreen which are not included in the Companies insurance cover,
any such damage is the Hirer's responsibility (see condition 1)
8. CANCELLATIONS
(a) Cancellations must be in writing and are charged as follows:
More than 6 weeks prior to commencement of hire -Loss of deposit.
Between 4 and 6 weeks – 50% of hire cost.
Less than 4 weeks prior to commencement of hire –100% of hire cost
(b) The Company reserves the right to cancel the hire if at the commencement
of the hire the driver's licence(s) are invalid or not in accordance
with the conditions set out in condition 2. In these circumstances
the total hire charge will be forfeited.
(c) Hirers are strongly advised to insure against unavoidable cancellation.
9. FUEL, OIL & GAS
(a) At pickup the reading on the fuel tank will be agreed with the
Hirer. The Hirer is expected to return the vehicle with the same or
greater reading on the fuel tank. Any fuel shortage will be charged
at the rate of £20 per quarter tank or part thereof. The Hirer
will be liable for repair costs if the incorrect fuel type is used.
No refunds will be given if the vehicle is returned containing more
fuel than it did on commencement of the hire.
(b) The Hirer is responsible for the regular checking of oil and water
levels and the use of the correct type of fluids.
(c) Two gas cylinders are provided at the time of hire; at least one
will be full of gas. The cost of any refills thereafter will be borne
by the company. Upon presentation of a valid receipt the Company will
refund the full cost of any gas purchased during the hire.
10. AVAILABILITY
Whilst every effort is made to ensure that the vehicle reserved is
available, if due to circumstances beyond the Company's control the
reserved vehicle is not available the Company reserves the right to
offer a suitable alternative. If this is not available or acceptable
the liability of the Company will be limited to the refund of any
monies paid by the Hirer.
11. LIABILITIES
(a) The Hirer shall be responsible for all damage to windscreen, tyres,
punctures and all costs and expenses included as a result of offences
against the Road Traffic Acts and/or regulations there under, and
indemnifies the Company from any liability.
(b) The hirer shall insure that the driver and all passengers required
by law to do so shall at all times when the vehicle is being driven
wear the seat belt provided.
12. PARKING
The hirer is permitted to leave 1 vehicle at our premises for the
duration of the hire at the owners risk.
13. ANIMALS
No pets.
14. SMOKING
No smoking in any of our vehicles
15. HOLIDAY INSURANCE
The hirer is responsible for booking their own holiday insurance.
16. COMPANY RIGHTS
The company reserves the right to vary rates and conditions at any
time.
